We use quite a few Google tools to coordinate our work. Please take the time to set up your account and browser to conveniently reach all of the following.

Google calendar

Our team is scattered over many time zones and regular meeting times occasionally change to accommodate our active contributors. We have all-hands meetings as well as specialized meetings for software and mechanical engineering. Please subscribe to our Google Calendar to stay up to date. Check the scheduled calendar events for more details, including Zoom links and agenda/notes. Please plan to attend one of the group meetings. If the times are not convenient for you, please let us know and we will try to accommodate.

If you intend to contribute to our project, you MUST get an @respira.works email and gain authorized write/edit access to our documents. Please contact Erik Peters on Slack (or any other one of the leads you can reach), who will create an account and send you the login details.

Email setup

our primary domain name is pandemicventilator.com and Google makes it difficult to change that. So you will need to set up your name @respira.works as an additional account after you get logged in.

You should have received an email from Google with a link to set up your email. After you get logged in (as [email protected]), you need to click on the “gear” icon in the upper right to go to your email settings. In the drop-down, click on Settings.

Next, go to the Accounts tab. On this tab, you should click on Add another email address:

In the window that pops up, type in your [email protected] email address and un-check the Treat as an alias box:

After you click on Next Step, you need to be sure to click the Make Default link on the right side of the Account settings page:

Next, go back to the inbox and try sending an email to your personal email address. If it comes from [email protected] you’re all set! Otherwise send a DM to Curtis in Slack for help.

Google drive

Most fundamental engineering content is tracked here on Github. Everything else resides on Google drive. This includes meeting notes, media, graphics, presentations, legal documents and agreements, etc.. Even some exported and archived engineering content may be more conveniently stored on Google drive, particularly large binary files such as generated drawings for manufacturing.

Best practices

First, note that we are an open-source group that's trying to save lives and we believe in sharing pretty much everything. That said, sometimes you need to keep people from editing things, but still let them see it and make comments.

And you definitely need to be able to find your stuff.

It is imperative that you place all files associated with RespiraWorks projects in the RespiraWorks "main folder" as mentioned below. Try to think of your colleagues and how they could most easily find your document if they don't know what it is called. For example, if you found a useful paper about flow sensors, it should probably place it under Engineering/Pneumatics. If an apprioriate category does not exists, discuss with others and create a new folder.

DO NOT under any circumstances:

  • create documents with your personal Google account and then share them via link
  • create documents with +New without immediately placing them into one of the RespiraWorks folders

Configuring browser

If you are using Chrome, you may need to configure an additional profile to always access our Google drive with your G-suite credentials. Click on the picture of your profile at the top right of your Chrome or Chromium browser. Under other profiles select + Add. For other browsers, this might work differently.
